Privacy Policy

We collect the following categories of personal information when you register and use the BuildMapper platform:

• Account information: name, email address, and password (hashed — never stored in plain text)
• Phone number: collected optionally for WhatsApp lead alert notifications
• Trade and business preferences: your trade category, operating cities, project type preferences, and deal size range — used to score and rank permit opportunities
• Location data: GPS coordinates requested on the permits map for proximity-based lead scoring; not stored persistently beyond your session
• Gmail contact data: names, company names, email addresses, and email interaction counts accessed via Google read-only OAuth scope — used only to identify relationship paths to permit contacts
• HubSpot contact data: contact records synced from your HubSpot CRM when you connect the integration
• CSV-imported contacts: names, companies, emails, and phone numbers you manually import
• Usage data: pages visited, features used, leads saved, and pipeline actions — used to improve the product and personalize Scout’s recommendations
• Device information: browser type, device type, and IP address for security and analytics

In order to use BuildMapper, you must first complete the registration process. During registration you are required to provide your email address and a password, or authenticate via Google or Microsoft OAuth. At your option, you may also provide additional profile information (such as trade type or operating city), but it is not required to create an account.

We use this information to provide you with the BuildMapper service, personalise your lead feed, and contact you about your account or new features.

We use the information we collect to:

• Provide, operate, and improve the BuildMapper platform
• Score and rank construction permit opportunities relevant to your trade and location
• Identify relationship paths between your contacts and permit applicants/contractors
• Generate AI-drafted outreach emails and call scripts tailored to your pipeline
• Send WhatsApp morning briefs and email digests about new leads in your market
• Enrich leads with decision-maker contact information sourced from public web data
• Analyze your pipeline history to improve future lead scoring accuracy
• Contact you about your account, service updates, or changes to this policy

We are the sole owners of the information collected on this site. We will not sell or rent your information to anyone.

The BuildMapper System uses Anthropic’s Claude AI models to power Scout, our lead intelligence assistant. When you interact with Scout or use AI-powered features, the following data may be sent to Anthropic’s API for processing:

• Permit details (address, contractor, value, description) — to generate scored opportunities and briefings
• Anonymised contact company names — to generate relationship intelligence context
• Your trade preferences and pipeline summary — to personalise Scout’s recommendations
• Outreach email context (permit details, contact name, your name) — to draft emails

Anthropic processes this data subject to their own privacy policy. We do not send personally identifiable contact information (email addresses, phone numbers) to Anthropic. Data sent to Anthropic is used solely to generate responses for your session and is not used to train AI models under our API agreement.

When you connect your Google account, BuildMapper requests read-only access to your Gmail contacts and sent/received email headers. We use this data to:

• Build a private relationship graph identifying which companies you have communicated with
• Score permit opportunities higher when you have an existing relationship with the permit’s contractor or developer
• Identify second-degree relationship paths (e.g., you know someone at a company that has worked with the permit applicant)

We only read contact names, company affiliations, email domains, and email interaction counts. We never read the body content of your emails. Gmail data is stored in your private BuildMapper account and is never shared with other users or sold to third parties. You can revoke Gmail access at any time from your Profile settings or from your Google account security settings.

BuildMapper may request access to your device’s GPS location when you use the Permit Map feature. Location data is used exclusively for:

• Proximity scoring: calculating how close a permit is to where you operate
• Map centering: showing the permit map centered on your current location

Your precise GPS coordinates are not stored on our servers. Location is processed in your browser session only. You can deny location access at any time; the app will continue to function without it, though proximity scoring will be unavailable.

We use the following third-party services to operate the BuildMapper platform. Each provider handles data subject to their own privacy policies:

• Access: Request a copy of the personal information we hold about you
• Correction: Request correction of any inaccurate information
• Deletion: Request deletion of your account and associated personal data
• Portability: Request an export of your data in a machine-readable format
• Opt-out: Unsubscribe from marketing emails or WhatsApp notifications at any time
• Integration revocation: Disconnect Google, Microsoft, or HubSpot integrations from your Profile settings

We take the security of your data seriously. Our security practices include:

• All data is transmitted over HTTPS (TLS encryption)
• Passwords are hashed using industry-standard algorithms — never stored in plain text
• Database access is restricted via Supabase Row-Level Security (RLS) policies ensuring users can only access their own data
• API keys and secrets are stored as environment variables, never committed to source code
• OAuth tokens are stored encrypted in our database

While we use industry-standard security measures, no method of transmission over the Internet or electronic storage is 100% secure. If you believe your account has been compromised, please contact us immediately.

We use cookies and similar browser storage technologies to operate the BuildMapper platform. These include:

• Session cookies: used by NextAuth to maintain your authenticated session
• Local storage: used to persist your theme preference, saved filters, and Scout chat history between sessions
• No third-party advertising or tracking cookies are used

We retain your personal data for as long as your account is active. Upon account deletion:

• Your account, preferences, and saved opportunities will be permanently deleted within 30 days
• Contact data synced from Gmail or HubSpot will be deleted
• Anonymised usage analytics may be retained in aggregate form

The BuildMapper platform may contain links to third-party websites. Please be aware that we are not responsible for the content or privacy practices of such other sites. We encourage you to read the privacy statements of any other site that collects personally identifiable information.

We may update this Privacy Policy from time to time. We will notify you of significant changes by email or by posting a notice on the platform. Your continued use of BuildMapper after such changes constitutes your acceptance of the updated policy.
